Actions

Create an Action

You can create an action in three ways:

1. From the Home Screen:

  • Log into MyPrism.

  • Click Create and select Action from the dropdown.

  • Fill in the form. Title is the only mandatory field. You can also add Description, Type, Assignee, Due Date, Business Function, and any relevant links (Belongs To or Related Actions).

  • Click Save to add the action.

2. From the App Launcher:

  • Open the Action module from the App Launcher.

  • Click Actions, then select Create Action.

  • Enter the Title (mandatory) and any additional details as needed.

  • Click Save.

3. From a Board:

  • Go to Boards from the left menu and open a board.

  • Click the + icon next to Actions.

  • Enter the Title and other optional details.

  • Click Save.

Update an Action

You can update an action in two ways:

1. From the Actions List:

  • Open the Actions module via the App Launcher.

  • Select an action from the grid to open its split view.

  • Edit fields like Title, Description, Due Date, Priority, or related items.

  • To add files, go to More Details > Attachments.

  • All changes are saved automatically.

2. From a Board:

  • Open the desired Board.

  • Click on Actions/List to view all actions.

  • Select an action to open its split view.

  • Update the required fields. Changes are saved automatically.

Delete an Action

  • Open the Actions module from the App Launcher.

  • Locate the action you want to delete.

  • Click the delete icon next to the Due Date.

  • Confirm the deletion.

Note: Only the creator of the action can delete it.

  • Log in to MyPrism and go to the Action module via the App Launcher.

  • Click Actions to view the grid and select an action.

  • In the split view, click the Action ID to expand to full screen (optional).

  • Under Related Actions, click Link.

  • Select a relationship type (Blocked by, Child, Related To) and choose the related action from the dropdown.

  • Click outside the grid to save.

  • Click Remove in the Related Actions grid. The link will be removed immediately.

  • Log in to MyPrism and open the Action module from the App Launcher.

  • Click Actions to view the list and select an action to open its split view.

  • In the Belongs To section, click Link, choose the entity type and title from the dropdown.

  • Click outside the grid to save.

  • Click Remove in the grid. The entity will be unlinked immediately.

  • Log in to MyPrism and open the Action module via the App Launcher.

  • Click Actions to view the grid and select multiple actions.

  • Once enabled, click Link, choose a board, and click Link.

  • The selected actions will be linked to the chosen board and can be viewed there.

Send Action Reminder

From the Actions Grid

  • Go to the Action module via the App Launcher and open the Actions grid.

  • Select one or more actions. If the Send Reminder button is enabled, click it to notify assignees via email and MyPrism notifications.

From Split View

  • Click an action to open its split view.

  • Click Send Reminder icon next to the status to notify assignees.

Note: Reminders can only be sent for actions with assignees and are not available for Closed or Done actions.

Pin Action to Top

  • Log in to MyPrism and open the Action module via the App Launcher.

  • In the Actions list, click the pin icon next to the action ID to pin it.

  • Pinned actions appear at the top of the list for easy access.

Edit - Make changes at all once for multiple actions

  • Log in to MyPrism and open the Action module via the App Launcher.

  • In the Actions list, select one or more actions.

  • Once the Edit button is enabled, click it to open the edit popup.

  • Update the status, assignee(s), or due date, then click Save to apply changes to all selected actions.

Export Action details

  • To export your actions, go to the Actions module and click Export (next to Create Action).

  • To export actions from a specific board, go to Boards, open the board, and click Export (next to Link Actions).
