Actions
Create
From the Home Screen:
Log into MyPrism and click the Create button on the home screen. Select Action from the dropdown menu. Complete the form by entering the action title, description, type, assignee, due date, business function, and any relevant links under the Belongs To or Related Actions grids. Click Save to add the action to the grid.
Or
From the App Launcher:
Open the Action module via the App Launcher. Click Actions, then select Create Action. Fill in the required details as above and click Save.
From a Board:
Navigate to Boards in the left menu and select a specific board. Click the + button next to the Actions icon. Complete the form with the necessary details and click Save.
Update
From the Actions List:
Go to the Actions module via the App Launcher. Select an action from the grid to open its split view. Update fields such as title, description, due date, priority, or related entities under their respective sections. Attach files in the More Details > Attachments section if required. Changes are saved automatically.
From a Board:
Open the desired board and locate the action. Click the action to view its split screen and make updates as needed.
Delete
Navigate to the Actions module in the App Launcher. Locate the action, click the delete icon next to its title, and confirm the deletion.
Note: Only the creator of an action can delete it.
Link and Unlink Related Actions
After logging into MyPrism, locate the Action module in the app launcher. Click on "Actions" to see the list displayed in a grid. Choose and click on an Action from the grid. A split view will open; you can expand it to full screen by clicking on the Action ID.
Find the Related Actions grid and click "Link." Select a relationship type from the dropdown: Blocked by, Child, or Related To. Choose the appropriate one and select the action from the reference dropdown. Click outside the grid to save.
To remove a link, click "Remove" in the relations grid. The entity will be unlinked immediately.
Link and Unlink Action to different entities
After logging into MyPrism, locate the Action module in the app launcher. Click on "Actions" to see the list displayed in a grid. Choose and click on an Action from the grid. A split view will open; you can expand it to full screen by clicking on the Action ID.
Find the Belongs To grid and click "Link." Select the entity type and title from the dropdown. Click outside the grid to save.
To remove the link, click "Remove" in the relations grid. The entity will be unlinked immediately.
Link Multiple Actions
Once logged into MyPrism, locate the Action module in the app launcher. Click "Actions" to view the list in a grid. Select one or more actions you want to link. Ensure the "Link Actions" button is enabled. Click "Link Actions," choose a board to link the selected actions, and hit "Link." You can later go to the linked board to view the actions linked.
Send Action Reminder
From the Actions Grid:
Once you're logged into MyPrism, find the Action module in the app launcher. Click on "Actions" to view the list displayed in a grid. Select one or more Actions you want to send a reminder for. Ensure "Send Reminder" button is enabled. The assignees of that action will receive a gentle reminder in their email inbox as well as MyPrism notifications.
From Split View:
Select an Action from the grid and click on it. A split view will open. Locate the "Send Reminder" button next to the status. Clicking on it will send a gentle reminder to the assignees of that action via email as well as MyPrism notifications.
Note: Reminders cannot be sent for Closed/Done actions without assignees.
Pin Action to top
Once logged into MyPrism, find the Action module in the app launcher. Click on "Actions" to view the actions displayed in a list. To mark an action, tap on the pin button located between the ID and type. Pinned actions will appear at the top of the list.
Edit - Make changes at all once
Once logged into MyPrism, find the Action module in the app launcher. Click on "Actions" to view the actions displayed in a list . Select one or more actions and Check Edit button enabled. Click on Edit, View a pop up. Mark the status or Assign one or more users or set a Due Date and hit save to edit simultaneously.
Export Action details
To export information for your actions only, go to Actions and click on the export option located at the top next to the Create Action button.
To export information for any Board, go to Boards, select the board you want to export, and click on Export located at the top next to the Link actions button.
