Creating an Approval Request

You can create an approval request from different sections of MyPrism:

1. Via App Launcher

  • Log in to MyPrism and open the App Launcher.

  • Navigate to the Action module and click on Approvals.

  • Select Create Approval.

  • Fill in the following fields:

    • Title

    • Description

    • Approvers

    • Due Date

    • Business Function

    • Linked entities (such as Action, Goal, or KPI)

  • Click Save. Your approval request will appear under the Request Raised tab.

2. From Actions or Boards

  • Go to the Actions or Boards section and open the list of actions.

  • Click on an action to open it in split view, then select the Action ID to view it in full screen.

  • Scroll to the Approvals and Decisions section.

  • Click Add under Approvals.

  • On the Approval creation screen, fill in:

    • Title

    • Description

    • Approvers

    • Due Date

    • Business Function

  • Click Save. The request will be automatically linked and visible in the Approvals section of the Action.

3. From Meetings

  • Open the Meeting Minutes screen.

  • Locate the Approvals section.

  • Click Add under Approvals.

  • On the Approval creation screen, enter the required details:

    • Title

    • Description

    • Approvers

    • Due Date

    • Business Function

  • Click Save. The request will be linked to the Meeting and shown in its Approvals list.

Updating an Approval Request

  • Go to Approvals under the Action module.

  • Navigate to the Request Received tab.

  • Click on the Approval ID to open the request in full view.

  • You can update the following fields:

    • Title

    • Description

    • Status

    • Approvers

    • Due Date

    • Linked entities

  • You can also add or edit comments. All changes are autosaved.

Approving or Rejecting a Request

  • Go to Approvals under the Action module.

  • In the Request Received tab, select the request you want to act on.

  • Open it in full view by clicking the Approval ID.

  • Update the Status to either Approve or Reject.

  • The requester will be notified via email and MyPrism notifications.

Note: Only assigned Approvers can change the status.

Withdrawing or Deleting an Approval Request

  • Go to Approvals under the Action module.

  • In the Request Raised tab, locate your approval requests.

  • Select a request and click Delete, then confirm the action.

Note:

  • You can only delete approval requests that you have created.

  • Approval requests added from Actions or Meetings can only be deleted from the Approvals screen.

Sending a Reminder on Approval Request

  • Go to the Request Raised tab under Approvals in the Action module.

  • Select one or more approval requests.

  • Click Send Reminder to notify approvers via email and MyPrism notifications.
